For churches and faith communities

Church volunteer scheduling that runs itself week to week

Greeters, ushers, parking, coffee, tech and kids ministry all need people every weekend. VolunteerFlow keeps the rotation filled, lets people trade spots with your approval, and keeps screening records where your ministry leaders can find them.

A week with VolunteerFlow

From Monday planning to Sunday morning

How a serving schedule can run once it is set up. Most of it happens without a coordinator chasing anyone.

  1. Services repeat on their own

Each service is a repeating event with a shift for every team. Set it up once, with no end date, and future Sundays are already on the calendar.

    All plans.

  2. Regulars keep their spot

Standing assignments put each team member on every future date of their service. Newer volunteers can sign up for a single Sunday or the whole series from the portal or the mobile app.

    All plans.

  3. Reminders go out before the weekend

Each event can send up to five automatic email reminders, each timed the way you choose, so nobody needs a Saturday night phone tree.

    All plans.

  4. Trades happen without the group chat

A volunteer who cannot make it hands the shift to someone else. The roster only changes after staff approve the swap, and volunteers cannot sign up for two overlapping shifts.

Swaps on Flow and Impact. The overlap check is on every plan.

  5. Sunday check-in counts the hours

A tablet in the lobby or a QR code at each team station checks people in and out, and checking out records confirmed hours.

All plans. The hours log and reports are on Flow and Impact.

Ministry by ministry

Set each team up the way it works

Different ministries have different rules. These are the settings churches usually reach for.

Good to know

What VolunteerFlow is not

VolunteerFlow is built for volunteers. It does not try to replace your church management system.

Not a church management system

It does not hold membership records, attendance for services, small groups or pastoral notes for your whole congregation.

No children's check-in labels

Volunteer check-in is for the people serving. It does not print name tags or security labels for children.

No worship planning

There are no song lists, service orders or rehearsal plans. Use it for who is serving, not what is being played.

Fill next Sunday without the phone tree

Common questions

Questions we hear from churches

Can volunteers keep the same spot every week?

Yes. Make each service a repeating event and give regulars a standing assignment. They are added to every future date of that shift automatically, on every plan.

What happens when someone cannot make their Sunday?

On Flow and Impact, a volunteer can hand their shift to another volunteer from the portal. The swap waits for staff approval before the roster changes. They can also simply cancel, and late cancellations are recorded on their profile.

Can we make sure only screened people serve in kids ministry?

You can limit an event to volunteers with a tag you give after screening, on every plan, and require a minimum age. On Impact you can also order Checkr or Sterling background checks directly and lock single shifts to tagged volunteers.

Do volunteers need to download an app?

No. Volunteers can use the web portal on any phone or computer. There is also a volunteer app on Google Play (VolunteerFlow Volunteer App) and the App Store (VF Volunteer Portal) if they prefer it.

Can we use it across several campuses?

Yes, on the Impact plan. Each campus becomes a location, and staff can be limited to the campuses they work at.
