How the audit works it out

No hidden formula. Everything comes from your answers, worked out in your browser, and you can check each number yourself.

Systems and processes

We count the workflows you run (up to 12, from volunteer records to donations) and how many of them happen somewhere other than a volunteer management platform: a separate app, a spreadsheet, online forms, paper or something else. Workflows you told us you don't do are left out.

Fragmentation level

Each workflow scores 0 points in a volunteer management platform, 2 in a separate app, spreadsheet, form tool or other tool, and 3 on paper, because paper has to be typed up again. The total is shown out of 100:

  • 0 to 33: Low
  • 34 to 66: Moderate
  • 67 to 100: High

Software spend and admin time

Your monthly software spend range is multiplied by 12, and your weekly admin hours range by 52. We show ranges rather than a single number, because the answers are ranges.

Consolidation opportunities

Every workflow handled outside a central system is listed, with the ones done on paper first. We only describe a VolunteerFlow feature when it exists today, and we say which plans include it. We never estimate savings.

About the audit

Who provides this audit?

VolunteerFlow, a volunteer management platform. It is a free tool, not independent consulting. The results are worked out from your own answers, and the suggestions only name VolunteerFlow features that exist today.

Do I need to sign up or give my email?

No. You can answer the questions and see all of your results without an account or an email address. Your answers stay in your browser unless you ask us for a technology review.

How accurate are the cost and time figures?

They are estimates. We multiply the monthly spend range you pick by 12 and the weekly hours range by 52, and show the result as a range. They are only as accurate as the ranges you choose.

What does the fragmentation level mean?

It describes how much of your volunteer work happens outside one central system. It is a simple score from your answers, not a certified assessment, and a higher level is not a failing grade. Many organizations work well with a few separate tools.

What happens if I request a technology review?

Your name, organization, email, optional phone number and your audit answers are sent to the VolunteerFlow team. A person reviews them and replies by email. We use the details only to reply to your request and do not add you to a mailing list.
