For food pantries, food banks and meal programs

Volunteer scheduling for food pantries and food banks

Distribution days need the right number of hands, sorting shifts depend on groups showing up, and walk-ins arrive every week. VolunteerFlow handles all three and turns check-in into hours you can report.

Distribution day

How a distribution day runs in VolunteerFlow

A typical Saturday, from the week before to the thank-you email.

  1. The week before

Distribution is a repeating event with shifts for sorting, packing, the client line and cleanup. Regulars hold standing assignments, so most slots are already filled.

    All plans.

  2. Groups book their spots

A company team or school club gets a reserved block of spots with a headcount and a group leader. Those spots count toward the shift's capacity, so you never overbook.

All plans. Group leaders booking from the portal on Flow and Impact.

  3. Reminders go out

Each event sends up to five automatic email reminders, timed the way you choose. Volunteers who use the mobile app get each one as a push notification too.

    All plans.

  4. Check-in at the door

A tablet kiosk lists today's shifts. Regulars find their name, a group checks in together by headcount, and new faces tap "I'm new here" to sign up on the spot.

    All plans.

  5. Check-out and thanks

Checking out records confirmed hours, and each volunteer gets an automatic thank-you email. Anyone who signed up and never checked in is marked as a no-show.

    All plans.

Why pantries switch

The same problems, every week

Groups that overbook a shift

A team of 15 shows up for a shift with room for 8, because their booking lived in someone's inbox.

No-shows on the busiest day

Regulars miss a shift and nobody knows until the line is already out the door.

Walk-ins with no record

People who drop in to help are never added to your list, so you cannot invite them back.

Hours for funders

Grant applications ask for volunteer hours, and the sign-in sheets are in a box.

Examples

Built for how pantries actually work

Illustrative setups. Your shifts and groups will look different.

Example

A corporate volunteer day

A local company wants to bring 20 employees to sort donations on a Friday.

  • Reserve 20 spots on the sorting shift with the company contact as group leader
  • The group checks in together at the kiosk
  • Staff credit hours to the named members who already have volunteer records
Example

Holiday food drive

You need three times the usual volunteers for two weeks in November.

  • Separate events for each drive day, each with its own shifts and capacity
  • Up to five reminders per event, including one the morning of
  • A minimum age on warehouse shifts, checked against date of birth
Example

Weekly regulars

A core group packs boxes every Tuesday and Thursday.

  • Repeating events with standing assignments for each regular
  • A reliability record per volunteer showing attended shifts, no-shows and late cancellations
  • Automations that follow up after a no-show (2 workflows on Launch, 25 on Flow, unlimited on Impact)

Common questions

Questions we hear from food pantries

How do we handle a company or school that wants to volunteer as a group?

Reserve a block of spots on the shift with a headcount and a group leader, on every plan. The reserved spots count toward the shift's capacity, the group can check in together at the kiosk, and staff can credit hours to members who already have volunteer records.

What about people who just walk in to help?

The kiosk station has an "I'm new here" option, so a walk-in can sign up on the spot and check in. They are added to your volunteer list, so you can invite them back.

Can we report volunteer hours to funders?

Yes, on Flow and Impact. Hours recorded at check-out are confirmed automatically, and the grant report totals hours, volunteers and sessions for any date range.

Can volunteers add hours they forgot to check in for?

No. Volunteers cannot enter their own hours. Staff can add or correct hours in the hours log on Flow and Impact.

Does VolunteerFlow track the food we distribute?

No. VolunteerFlow manages your volunteers. Keep your existing system for food inventory and client visits.
