For schools, PTAs and booster clubs

School volunteer management for parents, staff and students

Field trips, book fairs, classroom help and concession stands all run on parent volunteers. VolunteerFlow handles sign-ups and screening, checks volunteers in at the front office and keeps an honest record of the hours they give.

The school-year scramble

Parents want to help. Coordinating them is the hard part.

Sign-up sheets on the classroom door

Paper and shared documents make it hard to know who is coming, and impossible to remind them.

Screening tracked by memory

Which parents are cleared to chaperone lives in an office binder or one person's head.

Who is in the building?

A paper sign-in sheet at the front desk does not tell you which volunteers are here for which event.

Students who need hours

Service-hour forms arrive at the end of the year with signatures nobody can verify.

Groups that show up together

A whole class of parents or a sports team volunteers at once, and nobody knows how to log them.

Starting over every fall

Each new PTA board inherits a pile of spreadsheets instead of last year's volunteer list.

From interested parent to cleared volunteer

A clear path before anyone chaperones

Set the steps once, and every new volunteer goes through the same process.

  1. Apply by link

Share an application form you build yourself. Parents and community members apply from a link without creating an account first.

    All plans.

  2. Review applicants in stages

Move each applicant through Applied, Screening, Background, Interview, and Approved or Rejected, with notes along the way.

    Flow and Impact.

  3. Run or record the background check

Order Checkr or Sterling checks from the volunteer's profile and have results sync back, or keep a background check note on the profile.

Direct checks on Impact. Notes on all plans.

  4. Assign training

Assign short training courses, such as building safety or field trip rules, and set completions to expire each year.

    All plans.

  5. Tag who is cleared

Give approved volunteers a tag, then limit chaperone events to volunteers with that tag.

    All plans.

At the front office

Check-in that knows why they are here

Set up a tablet as a kiosk station. It lists today's events, and volunteers find their name and check in to the right one.

  • Volunteers check in and out at the kiosk or by scanning a QR code with their phone
  • Walk-ins tap "I'm new here" and sign up on the spot
  • A group, such as a class of parents or a team, checks in together by headcount
  • Waivers attached to an event must be signed before a volunteer can check in (Flow and Impact)
  • Checking out records confirmed hours automatically

VolunteerFlow tracks volunteers, not visitors. It does not scan IDs or check visitors against registries.

Through the school year

From back-to-school night to field day

Events and classroom shifts

Book fairs, concession stands and weekly reading help, all on one calendar.

  • Events split into shifts, each with its own capacity
  • Repeating events for weekly classroom help, with series sign-up
  • A minimum age per event, checked against the volunteer's date of birth
  • Up to five automatic email reminders per event

Plans: All plans.

Groups and families

Let a whole family, class or team volunteer together.

  • Reserve a block of spots with a headcount and a group leader
  • Reserved spots count toward the shift's capacity
  • Group leaders can book spots from the volunteer portal (Flow and Impact)

Plans: Group reservations on all plans.

Service hours students can show

Hours that come from check-in, not from a form filled out at the end of the year.

  • Students cannot type in their own hours; they are recorded at check-out or by staff
  • Any volunteer can download a printable Certificate of Volunteer Service with their lifetime confirmed hours
  • Staff can confirm or flag hours in the hours log (Flow and Impact)

Plans: Certificate on all plans. Hours log on Flow and Impact.

A list that survives board changes

Keep last year's volunteers when the PTA board turns over.

  • Import existing volunteer lists from CSV or Excel, with a duplicate review step
  • Give each board member a staff login: 5 on Launch, 15 on Flow, 50 on Impact
  • Custom staff roles with their own permissions (Flow and Impact)

Plans: All plans except where noted.

Before you decide

A few things to know

No parental consent forms for minors

There is no guardian sign-off workflow for student volunteers. You can set a minimum age per event and attach waivers, but a parent cannot sign on a student's behalf in VolunteerFlow.

Not a visitor management system

Check-in is for scheduled and walk-in volunteers. It does not print visitor badges or screen visitor IDs.

Certificates show lifetime hours

The Certificate of Volunteer Service lists all confirmed hours. Reports for a specific date range are on Flow and Impact.

Common questions

Questions we hear from schools

Can students use VolunteerFlow to track service hours?

Yes. Students sign up and check in like any volunteer, and their hours are recorded when they check out or when staff add them. They cannot enter hours themselves. They can download a Certificate of Volunteer Service showing their lifetime confirmed hours.

Can we require background checks before parents chaperone?

On Impact you can order Checkr or Sterling background checks from a volunteer profile and the results sync back. On every plan you can record a background check note, tag cleared volunteers and limit chaperone events to that tag.

Do parents need an account to sign up?

Parents can apply through your public application link without an account. To sign up for shifts they use the volunteer portal, which works on any phone, or the volunteer app.

Can a PTA or booster club use it separately from the school?

Yes. Any group can start its own VolunteerFlow account. Each organization keeps its own volunteers, events and records.

Does it work for one-day events like a field day?

Yes. Create the event with a shift for each station or time block, share the sign-up link, and use the kiosk or QR code on the day to check people in.
