What can move with you

Bring the records you still use

Each of these has its own import in VolunteerFlow, from a CSV or Excel file.

Volunteer profiles

Names, email, phone, address, date of birth, emergency contact, skills and status, plus your own custom fields when a column heading matches the field name. Other columns are kept on the profile as application info.

Plans: All plans. First name, last name and email are required.

Past activities and attendance

One row per person per day. VolunteerFlow creates each past activity, marks it completed, records the volunteer as attended and logs the hours.

Volunteer hours

A date and hours for each entry, with an optional activity name and notes. Imported hours count toward totals and milestones straight away.

Events and shifts

One event with one shift per row, ready for volunteers to sign up.

Rosters and sign-ups

Put volunteers on shifts of events you have already created, with attendance and hours when you have them.

Add people to a group from a file. A group that does not exist yet is created for you.

Animals

Name, breed, age, species, sex, status, microchip, tags and notes, reviewed row by row before saving.

Not imported today

Some things need a different route. Here is how to handle them.

Applications

Past application forms are not imported. Rebuild your form in VolunteerFlow and new applicants use it from day one.

Documents and files

There is no bulk document import. Documents can be added to profiles one at a time, and on Flow and Impact volunteers can submit certifications through the portal for you to verify.

Spreadsheet migration

From Excel, CSV or Google Sheets

VolunteerFlow imports CSV and Excel (.xlsx) files. Here is how that works with the spreadsheets you already have.

Excel and CSV

  • Upload the file as it is. VolunteerFlow recognises common column names, such as first name, email, phone, date and hours, and shows which columns it matched.
  • In an Excel workbook, only the first sheet is read. Put the data you want on the first tab.
  • In the hours import, hours can be a number (2.5), a duration (2:30) or check-in and check-out times.

Google Sheets and several spreadsheets

  • There is no direct Google Sheets connection. In Sheets, choose File > Download and save as CSV or Excel, then upload the file.
  • Have a roster in one file and hours in another? Import them one at a time. Later files match to the volunteers you have already imported.
  • Each file can have up to 5,000 rows, so a very long history can be split by year.
Historical activity and hours

Keep the history your reports depend on

Past service can come across as full activity records or as hours on their own.

Activity history

  • One row per person per day: who, the date, the activity and the hours, plus optional location and notes.
  • Each past activity is created and marked completed, and each volunteer is recorded as attended.
  • Hours are logged as confirmed and count toward the volunteer's total.
  • If a row does not match a volunteer, the activity is still created but no hours are logged for that row.

Hours import

  • A date and hours for each entry, with an optional activity name and notes.
  • Dates in the future and entries over 24 hours are flagged instead of imported.
  • Imported hours are confirmed, update totals and count toward milestones.
  • Rows that do not match a volunteer are listed as errors and left out rather than guessed at.

How rows find the right volunteer: by email first, then by the volunteer ID you use, then by exact first and last name. If a name matches two volunteers, the row is flagged for you to fix rather than guessed. The same person, date and hours already on file is shown as a possible duplicate, and you choose to add it or skip it.
Moving from another platform

Coming from Volgistics, VolunteerLocal or another system?

Whether you use Volgistics, VolunteerLocal, Better Impact, SignUpGenius or another platform, VolunteerFlow does not connect to it directly. The move works through files:

  1. Export your volunteers, service history and events from your current system as CSV or Excel files. Check that system's own help pages for its export options.
  2. Open each file and check the column headings: each person needs a first name, last name and email.
  3. Import volunteers first, then activity history, hours, events and rosters.
  4. Review each file, fix anything flagged, and apply.
  5. Keep your old export files as a backup, and carry on in VolunteerFlow.

Your records don't have to be perfect

Every import stops at a review step, so problems show up before they reach your data.

Review and correct

  • Each row shows its errors and warnings, such as a missing email or an invalid date.
  • Volunteer rows can be edited right on the review screen. For other files, fix the spreadsheet and upload it again.
  • Nothing is saved until you apply. Volunteer, history, hours, event, roster and group files are then saved in a single step, so you never end up with half an import.

Duplicates and matching

  • A volunteer whose email is already in VolunteerFlow, or appears twice in the file, is shown side by side with the existing record. Skip it, or update the profile with the details in your file.
  • Hours and history rows are matched by email, volunteer ID or exact name, and ambiguous names are flagged.
  • Import in stages: current volunteers this week, older history when you are ready.
Worth knowing: there is no undo once an import is applied, so take a minute on the review screen. Your original files are never changed.

  2. Save as CSV or Excel

    Export from your current system, or download each sheet as a .csv or .xlsx file.

  3. Import your people

    Start with volunteers. The review screen shows every row before anything is saved.

  4. Add history and events

    Bring in past activities, hours, events and rosters. Rows match to the volunteers you imported.

  5. Review and get going

    Check the results, send portal invites if you want to, and run your next shift in VolunteerFlow.

Import everything, or start clean

You don't have to bring every record. One approach is to import current volunteers and the hours you still report on, and keep older files as an archive. Another is to bring the full history so year-over-year totals stay in one place. Either works: import what you will use, and add more later.

Common questions

Questions about switching

Can I import volunteers from a spreadsheet?

Yes. Upload a CSV or Excel (.xlsx) file from the People page. VolunteerFlow recognises common column names such as first name, last name, email and phone, and shows every row on a review screen before anything is saved. Each volunteer needs a first name, last name and email address.

Can I import past volunteer hours?

Yes. You can import past activities with one row per person per day, which creates each completed activity, marks attendance and logs the hours. On Flow and Impact you can also import hours on their own from the Hours page. Each file can have up to 5,000 rows.

Can I use Google Sheets?

Yes, through a download. VolunteerFlow does not connect to Google Sheets directly, so choose File > Download in Sheets and save the sheet as a CSV or Excel file, then upload that file. Only the first sheet in an Excel file is read.

What happens if a volunteer is already in VolunteerFlow?

Volunteers are matched by email address. A match is shown as a duplicate, side by side with the existing record, and you choose to skip it or update the existing profile with the details from your file. A second profile with the same email is never created.

Can I import our custom fields?

Yes. Set the fields up first in Settings > Custom Fields. When a column heading in your file matches a field name, the import fills that field for each person. A value that does not fit, such as an option that is not on the list for that field, is left blank and flagged on the review screen.

Can I move from another volunteer management platform?

Yes, through files. VolunteerFlow has no direct connection to other platforms. If your current system can export to CSV or Excel, you can import the volunteers, history, hours, events and rosters those files contain.

Can I review records before they are imported?

Yes. Every import stops at a review step that lists each row with any errors or warnings, such as a missing email, a date in the future or a name that matches two people. Nothing is saved until you apply the import.

Do I need to import everything?

No. You can bring over current volunteers and the hours you still report on, and leave older records in their original files. You can also import in stages, one file at a time.

What happens to my old records after I switch?

Your original spreadsheets and exports stay where they are; importing reads a copy. There is no undo once an import is applied, so check the review screen before you apply.
