Where the time goes

Service is the easy part. The paperwork is not.

Posts and veteran service groups tend to run on a few dedicated officers, a sign-in clipboard and a lot of phone calls.

Hours on paper

Sign-in sheets from every event have to be found, read and added up when an annual report or grant application is due.

The same few volunteers

Officers ask the people they already know, because there is no easy way to see who else is available or interested.

Ceremonies with moving parts

Color guard, setup, parking and food each need people, and a single text thread cannot show which slots are still open.

Recognition that slips

Nobody notices that a member just passed 500 hours or ten years until long after it happened.

Officer turnover

When the person who kept the spreadsheet steps down, the history often leaves with them.

Fundraising on the side

Donations, event help and volunteer records live in separate places, so nobody sees the whole picture.

Hours and recognition

Every hour counted, every milestone noticed

Check-in at the door turns into confirmed hours, and those hours drive reports and recognition without anyone retyping them.

  • Volunteers check in and out with a QR code or at a shared tablet, and checking out records confirmed hours
  • Staff review the hours log and confirm or flag entries (Flow and Impact)
  • Grant and annual reports total confirmed hours, volunteers and sessions for any date range, by program (Flow and Impact)
  • Automatic milestones at hour, event and service-anniversary marks, plus custom badges you award by hand or by rule (Flow and Impact)
  • Any volunteer can download a printable Certificate of Volunteer Service with their lifetime confirmed hours

Volunteers cannot type in their own hours. Hours come from check-in and check-out or from staff, which is what makes the totals worth reporting.

How posts use it

Three typical weeks at a post

Examples of how a veterans organization might set things up. Names and events are illustrative.

Example

A Memorial Day ceremony

You need a color guard, a setup crew, people to park cars and a team to serve lunch afterward.

  • One event with a shift for each job, each with its own capacity
  • Members sign up for the slot they want from the volunteer portal or the mobile app
  • Up to five automatic email reminders, timed the way you choose
  • A tablet at the entrance checks everyone in and records their hours
Example

Weekly hospital visits

A small group visits a veterans hospital every Tuesday, and you want the same people to keep their regular spot.

  • A repeating event with no end date
  • Standing assignments keep each regular on every future Tuesday
  • Volunteers can sign up for the whole series at once
  • Hours roll up under a Hospital Visits program (Flow and Impact)
Example

A spring fundraiser

The post is raising money for a scholarship and needs both donors and helpers.

  • An online donation campaign page with a goal tracker, paid through Square (Flow and Impact)
  • Automatic thank-you emails and numbered tax receipts for donors
  • The fundraiser itself scheduled as an event with volunteer shifts

Tools for organizations that serve veterans

Case management for the people you serve

If your organization helps veterans and families directly, keep that work out of shared spreadsheets.

  • Sensitive fields are encrypted at rest

Plans: Impact.

Programs and committees

Group events, volunteers and hours by the work they support.

  • A program for each activity, such as honor details, youth outreach or hospital visits
  • One program manager per program and its own volunteer roster
  • Hours and events totaled per program

Plans: Flow and Impact.

Member and volunteer records

One profile per person, with the details your post tracks.

  • Custom profile fields and tags, for example branch of service or auxiliary
  • Merge duplicate records without losing history
  • Import your existing list from CSV or Excel, with a duplicate review step

Common questions

Questions we hear from veterans organizations

Can we produce a total of volunteer hours for our annual report?

Yes, on the Flow and Impact plans. The grant report totals confirmed hours, the number of volunteers and the number of sessions for any date range, and breaks them down by volunteer, category and program. You can also build custom reports and export them to CSV or Excel.

Can members log their own hours after an event?

No. Hours come from checking in and out with a QR code or kiosk, or from staff entering them. That keeps the totals reliable. Members can see their own hour history in the volunteer portal.

Does VolunteerFlow handle memberships or dues?

No. VolunteerFlow manages volunteers, events, hours and related records. It does not collect membership dues. You can record membership details in custom profile fields if that helps your officers.

Can a member get proof of their volunteer service?

Yes. Any volunteer can download a printable Certificate of Volunteer Service from the portal showing their lifetime confirmed hours, and staff can print one from the volunteer profile. Save it as a PDF from the browser.
